Booking Costs, Payment Options & Conditions Of Hire

Our professional DJ & KJ's will give your function the boost it needs for a great nights entertainment. Our aim is to provide you with outstanding service and exceptional value for money.

We are now one of the biggest mobile entertainment operations in Canberra - Thanks.

Booking Costs

Disco

  • Disco $400.00* for 4 hours; then $100.00 per hour thereafter.

Karaoke

  • Fully hosted Karaoke $425.00* for 4 hours; then $100.00 per hour there after.
    DJ Tracks can be added for an additional $25.00


All systems can be hired by the hour, the cost is $125.00 per hour - a minimum booking of 3-hours is required. Please note the hourly rate is fixed once booked.

Prices effective from 1 June 2010

Prices do not include early setup or travel costs (see below). If the setup is required more than 1 hour before the booking then add $50.00.

Karaoke & Disco songs are always being updated and include the latest hits!

A minimum of half hour time blocks applies after the standard four (4) hour booking has been used for time extensions.

We may price match OR better our competitors prices for equivalent hire**

Payments can be made into the CPS Credit Union, details are;

If paying by the following methods please ensure you supply your details as follows.

  • Paying in person at the CPS Credit Union - Please note the Credit Union charges a $3.00 transaction fee when paying by this method, therefore you must include this amount with your payment.
    Please ensure you advise the teller to include your name and the booking date with the payment - ie John Smith 16/1/06, please note Personal or Bank Cheques must be cleared before hire.

  • Alternatively you can pay by all major Credit Cards, including AMEX, VISA & Master Card.

For full payments and additional time we have broken it down for your convenience. For example if you are booking a 4.5 hour Disco then simply select 1 x Disco deposit, 1 x Disco balance deposit, 1 x Disco additional time payment. Then proceed to check out.

Optional Extras -

Prices are quoted on the standard four (4) hour booking;

  • Data Projector add $100.00 if used with the booking OR $250.00 as a seperate hire,
  • Data Project Screen add $30.00
  • 1 or 2 x Pro Audio 400 watt Sub woofer speakers plus leads (Not used if there are sound restrictions) add $35 per speaker,
  • Additional speakers either Sound King, Quest or Pro Audio including stands $50.00 each
  • Additional power Amp $50.00 either 500 watt phonic or Crown 602 370 watt,
  • Cross over for Sub Woofers $30.00,
  • AKG Cordless Microphones per day add $100.00 each (not with a gig booking),
  • AKG Cordless Microphones add $50.00 each (If used during a gig booking only),
  • Smoke machine add $25.00,
  • Microphone stand can be provided on request although generally it is not used by the singer add $10.00.
  • Full stage lighting includes 2 x stands & t-bars, 8 x PA 56 lights (300 watts per light) + gels add $120.00
  • Single stand & t-bar, 4 x PA 56's plus gels add $60.00,
  • Green Laser Light add $50.00,
  • Light chaser for up to 8 x Par 56 lights add $45.00,
  • Flame Effect Mood Light add $50.00,
  • Storm Bird sound activated add $50.00,
  • Derby Triple sound activated add $50.00,
  • Boogie Disco light sound activated (same as 2 pod lights) add $50.00,
  • Pod light sound activated add $25.00,
  • Moon light sound activated add $25.00,
  • 30cm Mirror Ball & Spotlight add $25.00,
  • 1500 Watt Strobe Light add $50.00,
  • 75 watt Strobe light add $25.00,
  • 20 watt Strobe light add $10.00,
  • Single PA 56 plus gel add $15.00 or
  • Blue disco light add $5.00.

WARNING - please advise your guests if you are planning on hiring a strobe light or smoke machine as these items do affect some people.

Audio (PA)/Video

Audio (PA)/Video work requires an accurate indication of the type of function you are holding for a quote to be given.
(We can provide stage lighting, full setup up and pack down Video hook up and PA).

Travel

Yes, we will travel outside the Canberra Region!

For example travel to Yass NSW will incur an additional $50.00 only. Beyond Yass, NSW, the following charges maybe applicable.

  • $50.00 per hour or part there of, after traveling over one hour (from Tuggeranong ACT). This is applicable each way - i.e. a trip of 60 minutes each way would incur a charge of $100.00 dollars, $50.00 x 2 hours;
  • If the booking is going to finish after 1am and the return trip is greater than 2 hrs then accommodation and meals may also be sort.

*Long distance travel may include two people.

Early Setup

Yes we will do early setups the cost for an early set up is $50.00. An early setup is when the setup required more than 1 hour before the scheduled booking.

Important Note:

Our standard systems are easily capable of entertaining up to 200 guests, in small to medium sized rooms/halls at night club volumes. This is significantly more power and equipment than most other mobile DJ/KJ businesses provide.

Bigger functions including outdoor venues require additional equipment to give you the same sound levels - this will be true from anyone you are considering hiring from - additional equipment means additional costs. If you choose to hire the standard system for a larger function, once set up there maybe nothing we can do to add equipment on the day.

Conditions Of Hire

    Deposits

  1. All bookings require a non-refundable $100 deposit paid in advance to confirm a booking. (No deposit no booking.) If you are unsure of your functions viability please don't place a booking or deposit. Once you have paid your deposit your date will be set - we will be at your function that's our service commitment to you.    If you cancel your booking for whatever reason then you will lose your booking date and deposit.
    • Why is the deposit non-refundable? To cover any last minute cancellations which prohibits rebooking the date with another hirer - Its not usual that we have had to turn down others to do your booking or to buy specific music for your function prior to the event. (In exceptional circumstances and at our absolute discretion we may allow an alternative date to be booked).


  2. Deposits from Venues are not required unless specifically requested.
  3. Payments

  4. All Hires will require any outstanding balances paid on our arrival, and before any equipment is set up.

  5. Payment from Venues will be accepted at the completion of the performance.
  6. Wedding Hires

  7. All Wedding Hires require full payment to be made at least 2 weeks prior to the Wedding. If paying by cheque then at least 3 weeks before the wedding. (It's not good form chasing payment at your wedding.)

    Meeting The DJs For Weddings ONLY

  8. The follow applies when requesting a meeting with the DJs to discuss your wedding requirements. Yes, the DJs will meet with you, however, the DJs will only meet in a location central to both you and them. No, sorry the DJs don't make house calls and as they all have day jobs, it's also unlikely a weekday meeting will occur. We have found most of the time people just want to look at us, so we have included our photos and resumes on the website under Meet The Crew. For face to face meetings the DJs will generally make themselves available after 6.30pm Mondays to Wednesdays only.

    Please note the DJs are NOT being paid for the initial meeting with you, therefore they will only agree to one meeting with you prior to your wedding. Any additional meeting requests will encur a minimum $50 per hour surcharge which you should pay directly to the DJ. The DJs are more than happy to talk to you over the phone or via email at no charge, although excessive contact will be discouraged.

  9. Timing Of A Booking

  10. The timing of the booking is fixed once the equipment arrives. We generally arrive 1 hour before your function is booked to start. This means:
    • A booking from 7.30pm to 11.30pm will commence promptly at 7.30pm and finish at 11.30pm. If the Hirer delays the starting time for any reason, the finish time will still be 11.30pm. The show will NOT be extended without further payment (see clause 8).

    Extending a Booking

  11. If you require your function to exceed the initial booking;
    • then it's up to the DJ/KJs to agree to continue past the initial booking.
  12. If the DJ/KJs agree then the following applies;
    • additional payment will be required in CASH and IN advance to continue.
    • the minimum time is half hour blocks for extensions - no exceptions.
    • for Venues - Only an authorised duty manager will be able to extend a booking, and
    • if the venue closes before your booking is completed no refunds are given for the remaining time left unused.

    Starting & Finishing Times

  13. Latest starting time is 9.00pm unless prior agreement is reached.

  14. Latest finish time for Mondays, Tuesdays, Wednesdays, Thursdays & Sunday nights is 12.30am unless prior agreement is reached.

    Water and Soft drinks

  15. Water and Soft drinks are to be provided at NO COST throughout the booking for the DJs/KJs and Raven Entertainments assistant/s by the Hirer.

    Meals

  16. Functions going through a Lunch or Dinner period require a meal for the DJ/KJ to be provided. For example the DJ/KJs may not have had the chance to obtain a meal prior to arriving and setting up your function. Meals are not expected to be the same as guests a burger or pizza will suffice.

    Utilising the Equipment - Time Blocks

  17. The playing of music or using the PA through our systems during your function (ie through dinner) is classed as utilising the equipment. This means should you request music to be played during this period, your booking time will start from this point in time. For example, if you have requested the booking to start from 9pm and then have the DJ start at 8pm, the start time will be deemed to have moved to 8pm and the booking will conclude at 12am (standard 4 hrs). Should you stop the DJ/KJ for speeches during your booking the time that you have stopped the DJ/Kj still counts against your booking. For example should you start the DJ/KJ at 8pm then stop the DJ/KJ at 9pm for speeches then recommence at 10pm your booking would still conclude at 12am.

    Cheques

  18. Cheques will NOT be accepted on the day of the hire for payment, Cheques will be accepted if paying for the booking in advance. Note the cheque must be cleared before the hire.
  19. Cheques will be accepted from Venues where prior agreement has been reached.
  20. Harassment of DJ/KJ - Security

  21. Harassment of the DJ/KJ BY THE HIRER or THEIR GUESTS will not be tolerated, the Hirer will be given verbal notice that this is occurring by Raven Entertainment, after this notice is given any further Harassment will result in termination of the performance. NO REFUND will be given for any remaining time. If security is requested by the DJ/KJ it is up to the Hirer/Venue to supply it.
  22. Electrical Equipment/Smoke Detectors

  23. It's the Hirers responsibility to ensure their guests are advised to not touch power leads, cables, lights or smoke machine/s. These items can cause injury as they conduct electricity or in the case of lighting and smoke machines get very hot.

  24. It is the Hirers responsibility to ensure that their guests are advised, in advance, if a smoke machine/s or strobe lighting is being used. Unfortunately this does effect some people. Please note it is advised that the hirer consult with the venue prior to hiring a smoke machine to ensure the venue will accept the use of a smoke machine and pre-arrange to have smoke alarms/detectors isolated during the booking.

    Damage to Equipment - General Damages - Claims for Damage or Loss - Personal Damages

  25. Any damage to any equipment or property or person that will then require repairs, replacement or medical attention including but not limited to;
    • any damage to microphones, speakers, disco lights, power amps, video projectors, players, smoke machines, strobe lights, mixing desks, CDs, DVDs, CGDs, LDs, laptops, leads and plugs, road cases, speaker/lighting stands, t-bars, tables, clothing or DJ/KJ personal items or any other item/equipment that was hired by the hirer, or
    • any damage caused by spilled liquid over electrical equipment, or
    • any damage to the vehicle/s which have been used to transport the equipment to the hire (while parked at the booking location - NOT ON ROUTE), or
    • any claims arising from the assault on or distress of Raven Entertainment Management/Contractors caused by the hirer or their guests whether directly or indirectly, or.
    • any other action where damage has been caused deliberately or not.

    WILL BE CHARGED BACK TO THE HIRER/VENUE

  26. The HIRER/VENUE acknowledges they are responsible for any claims caused by the hirer or their guests, in respect but not limited to;
    • Noise levels where Raven Entertainment has been instructed to play music at a specific level,
    • smoke alarm activations where a smoke machine has been hired,
    • strobe light reactions where a strobe light has been hired, or
    • any other damages to the venue caused directly or indirectly by the Hirer or their guests.

    Limitation of Liability

  27. In the event of Raven Entertainment not being able to honour the booking due to circumstances outside our control i.e. the DJ/KJ has just called in sick and there are no substitute DJs/KJs available or where equipment has been damaged/stolen, we will do the following;
    • Call the Hirer immediately to explain the situation,
    • With the Hirers approval, we will endeavour to sub-contract out the booking to a third party at no additional cost to the Hirer - however the Hirer will be expected to pay the agreed cost of the booking, Or
    • Where the above fails then the booking will be cancelled and the Hirer will be entitled to a refund of 110% of any payments received.

      This is the maximum limit of Raven Entertainments liability to the Hirer.

    Sale of Merchandise

  28. Raven Entertainment reserves the right to sell its select merchandise at all functions.
    Types of merchandise could be, but not limited to;

    • Clothing including; Baseball Caps, Baseball Jackets and Tee Shirts,
    • Disco related merchandise including; Glow Sticks, Inflatable Props, Hair colouring etc.

    Acknowledgement of Hire Contract


  29. The Hirer acknowledges they are over 18 years or age and are legally able to enter in a binding agreement/contract of hire - Where the Hirer is under 18 years of age then the Hirer's parent, guardian, school principle etc will be required to accept the conditions of hire and will assume the responsibility of the hirer.


  30. It is a condition of hire that a confirmation email is provided from the Hirer to acknowledge that the Hirer has read, understands and agrees to the Conditions Of Hire. In the event the Hirer fails to provide confirmation of acceptance of these terms, it will be deemed that the Hirer has accepted these terms hire by making a payment or deposit.

Price Matching

**For a price match to be considered the following applys;

  • The Hire must be of the same or better value for example the sound wattage must meet or exceed 1000watts, their equipment must be professional quality not twin IPODS.
  • The DJ being provided must have a recognised "name" around town,
  • A written quote on business letterhead must be provided from our competitor complete with ABN,
  • The competitor must carry current insurances and PPCA licences,
  • The competitor must be using legally purchased music not pirated copies.
